12-3: Heavy snowfall requiring snow removal by South O Lawns who we have contracted our snow removal with for this winter.

12-6: Annual Homeowners held in Clubhouse. Fireguard here to repair fire panel in Bldg # 3.

12-8: 2″ snowfall requiring snow removal.

12-15: South O Lawns here to repair siding on Bldg # 1 and metal wrap on Bldg # 2.

12-16: DL&A Co. here to do maintenance work on exercise equipment in fitness room. Missing part ordered for one of the machines.

12-19: Accurate Locksmith came out and repaired north inner door to building #1. The handle was broken. It was missing a retainer clip and a spring. Handyman Don changed out the exterior light bulbs on the maintenance garage and the external building light on the NW side of building #1.

12-22: Bldg # 3 resident reported dog waste on the stairwell. Please pick up after your animals.

12-23: Fireguard called out to repair malfunctioning smoke alarms in Bldg # 2. It was caused from air room fresheners set too high. Smoke and mist both can set off smoke alarms in units.

12-27 & 29: Electrician here to repair maintenance garage outdoor light.

12-29: South O Lawns here to replace burned out light bulbs throughout property.

12-30: JTS here to work on Bldg # 1 entry buzzer.

MINUTES OF MEETING OF BELLE MEADE CONDOMINIUMS14725 BEDFORD PLAZAOMAHA, NEBRASKA  68116December 6, 2011 

A meeting of the Homeowners of Belle Meade Condominiums, Omaha, Nebraska, was convened in open session at 6:00 PM on December 6, 2011.  Present were the following : Board of Directors:  Alyce Bruzek & Clay Janney.  Meadowbrook Management  Company representatives and managers: Jim Lang, Steve Clouse  & Vicki Frost.  Condominium owners: Barb Ward, Jim Linder, Judy & Rich Moffatt,  Cindy Garner, Mike Kruger, Roger Abel, Jeff Ross, Polly Chandler, Myrna Grumer, Anneliese Wright, Barbara Binns & Charlie Glasgow, Julie Ommen,  Clay & Joan Janney,  Esmaeil Riahi,  Nic & Kate Thompson,  Darlene Waters & Joe Barfield.Notice of the meeting was posted in each condo building entrance and on the condo web site.  The meeting was presented by Jim Lang.  The meeting agenda was passed out as everyone arrived and signed in.The meeting was called to order by Jim Lang at 6:05 PM. 

Topics of discussion on the agenda:1.   Improvements/GroundsA.       Parking lotThe parking lot work that was done earlier in the year was discussed.  It was brought up that the cost will continue to increase over time with the aging of the property.  The high water table here at Belle Meade was mentioned which causes increased vigilance in the parking lot repairs.B.       Mulch bedsWood mulch was added to the landscaping beds early in the summer.  C.        River rock was done in several beds replacing wood mulch.  River rock will be phased in over time replacing all the wood mulch beds.Nic & Kate Thompson suggested more lighting be added to the pet areas.  It was discussed that large outdoor lights could be added to the back of 2 garages nearest the pet areas to increase lighting.2.     BudgetThe enclosed Profit & Loss statement for the 2011 year was discussed.  It was pointed out that the property insurance increased by 25%.  Which is the biggest cost appropriated for the 2012 budget.   It was brought up that the Health Department is requiring the pool be painted 2012 before it can be opened for the 2012 year at a cost of about $3,000.  The budget was reviewed line by line with questions of what the different accounts covered answered.3.   Past Due AccountsIt was noted there are 5 past due accounts totaling $12,023.49.  There are judgments and liens on 4 of them with the 5th owned by the mortgage company who has plans to pay off the account in the near future.  A retained attorney is working on collecting on all accounts.4.   DiscussionThe break-ins of a month ago were brought up.  It was asked what was being done to increase security.  Vicki reported that the gate opening and closing times were changed to 6:30 AM -9:30 PM.  Numerous codes to the buildings were changed to increase security.  Once these measures were taken the break-ins stopped.  Someone asked if it would be feasible to change all codes every 3 months.  It was brought up that a large share of residents would not cooperate with such an endeavor.  Also it would be extremely time consuming to do such a task. 

Someone  asked if it would be possible to start charging for the use of the clubhouse by residents to help raise some revenue.  Jim Lang said it would take a review of the By-Laws and a 80 -90 % approval vote by all owners.   

It was mentioned that our attorney is reviewing the By-Laws to see if Belle Meade can charge a fee to owners who rent out their condos to cover the extra work and resources required by having renters on the property. 

Nic & Kate Thompson asked how the FHA recertification was proceeding.  Jim Lang reported it was being sent in the next day and would take 30 days to be implemented. 

Mike Kruger brought up the topic of the smoking ban on multi-units that is being encouraged by the Omaha Fire Department.  It was asked if it could be incorporated here at Belle Meade.  It was brought up that it is a legal issue since the units are privately owned. 

Anneliese Wright asked about insurance coverage on the units by individual owners.  HO6 insurance coverage is recommended by each owner to cover personal property and coverage on each unit.  It was discussed that if an owner caused a fire that damaged another person’s condo, they would be liable for the damage caused.  Insurance would cover this liability. 

A complaint of cars speeding through the property was brought up.  Steve said when parking lot maintenance is done next time, speed bumps could be put in to slow down drivers.  It was brought up that the speed limit is posted on the driveway into the property and it is mentioned in the newsletter each month. 

The meeting was adjourned at 7:10 PM.

Don’t forget to change furnace filters. They should be changed at least every 3 months.

Just a reminder during daytime hours when the south gate is open, please use the south gate versus opening the north gate which is closed 24/7. The north gate is showing signs of wear and tear from frequent use.

HOA dues, due on the 1st, late on the 6th with a $20 late fee. Auto-pay from your bank account for HOA dues can be set up by contacting the office.

Property speed limit is 10 MPH, please adhere to the speed limit. We’ve had some violators.

Clubhouse reservations: Maximum occupancy on clubhouse is 42 persons, swimming pool area off limits during off season. A refundable damage deposit of $150 required.

If you are renting out your condo, please pass on the information in this newsletter to your tenants. Please email or call us with name, phone and e-mail for your tenant in case we need to contact them. Thank you.

The US Postal Service has asked that residents empty their mailboxes at least once a week. Overfilled mailboxes will have any future mail returned to sender.

Please pick up animal waste when taking dogs out.

Please be considerate of your neighbors and do not let your hallway door slam shut when going in and out.

We ask that when using the after hours phone number, it be used for emergencies only.

There recently was an event where a resident took it upon themselves to change the landscaping around their patio and encroached on common area landscaping. Before altering anything here at Belle Meade, you must submit your plans to the Board of Directors for approval.

11-2 & 3: Continental Alarm Co. here and repaired entry buzzer to Bldg # 2. Handyman Don here to numerous fall cleanup jobs. Light fixtures cleaned out, furnace filters changed, railing repaired and ice buckets set out for winter and etc other jobs.

11-10: Hallway thermostats set on heat.

11-11: Contractor here to give us bid on malfunctioning entry buzzer to Bldg # 1.

11-18: Gate contractor repaired north gate. Rollers had to be replaced.

11-21: Repair contractor here for odd jobs. Replaced outdoor light on Bldg # 3, put up snow fences in prep for winter, repaired light in Bldg # 2, patched hole on outside vent Bldg # 1.

11-25: JTS here to repair door buzzer to Bldg # 1. Part on back order.

We were notified by the Fire Marshall that cooking grills with propane tanks more than 1 pound and with charcoal are not allowed within 10 feet of patios and balconies & building structures, which includes storing the banned propane tanks in garages. Fines by the City of $400 or more will be issued to violators.Our insurance carrier Ellerbrock –Norris recommends all condo owners carry HO-6 insurance on their condos. Renters insurance is not enough.

Due to numerous garage break-ins, we are asking everyone to get deadbolts put on garage hallway doors if you don’t already have them and to keep all doors locked. Please be alert for suspicious activity and report such activity to the police.

10-15: Someone broke into attached garages on the south end of Bldg. # 1. No forced entry was found. It is believed the doors were left unlocked. Keys to the clubhouse were stolen. One of the residents robbed had the keys for clubhouse rental for Saturday night. We had the clubhouse door rekeyed for safety reasons. We recommend deadbolt locks on hallway garage doors.

10-20: Contractor here to repair north gate. Please use opened south gate during daytime hours. Fireguard here to replace expired batteries in fire panels in Bldg # 1 & 3.

10-23: Attached garages broken into in Bldg # 2 & 3.

10-24: Designated security codes changed to building entries to safeguard against break-ins.

10-25: Annual fire sprinkler inspection conducted by Fireguard. Also repaired 2 leaky sprinkler heads in Bldg # 1.

10-28: Dead trees removed north of Bldg # 1 entry. New tree planted next to south gate to prevent people from driving around gate when it is closed.

Round About

Everyone has probably noted the work being done on the round-about on our street.  The street as you know is blocked off at our driveway from going south.  We were told the work would take approximately 3 weeks.

Hallway thermostats were changed over to heat yesterday.
